The mission of the ARHS Marketing department is to maintain, enhance and promote the positive image of Appalachian Regional Healthcare System to the communities it serves. To accomplish this goal, the marketing team must have an eye on any and all communications that will likely be seen by the public.

So, what can the Marketing Team do for you? The scope of the department is defined as such:

Guide for Practice Managers

Marketing works closely with practice managers on promotions, documents, web content, reputation management, and more. The following information will help you navigate how to receive help. If you have any questions, email marketing@apprhs.org.

Forms
To change a document or form

  • If the form is part of the Legal Medical Record, contact Health Information Management Department.
  • If the form belongs in Policy Manager, each department handles the upload.
  • If the form is not part of the LMR, nor belongs in Policy Manager, contact marketing@apprhs.org

SmartWorks
SmartWorks is ARHS’ online vendor for ordering various printed materials including forms, letterhead, envelopes, business cards, appointment cards, RX pads, Thank You cards, and much more. If you need assistance with placing an order or to set up a log-in, contact Materials Management.

Signs
If you need a temporary sign, please use the sign template on the Employee Hub. For permanent signs, contact Plant Operations.

Letterhead
For individual letters, download Word document templates from the Employee Hub, add your content, and print! Letterheads may be printed on color or b/w printers. Please do not change the headers and footers. Letters being sent to large groups of patients or to the public should be approved by Marketing before sending. Marketing can help coordinate patient mailings. Large quantities of letterhead should be ordered through SmartWorks. If you do not have a SmartWorks login, contact Materials Management.

Important Information for Requests

To ensure consistency, timely production and a continued professional look to all publications that represent ARHS, please be prepared to provide the following to the Marketing strategy team when requesting assistance.

  • What gap are you trying to close? What goal are you trying to accomplish?
  • What do you want people to be able to do when they have consumed your content?
  • Information (digital format) about your service line, program, initiative or event
  • Details about the audience you need to reach
  • Contact information for your audience to use for more information (i.e. phone number, email, fax, etc.)
  • Budget for the project
  • What is your current capacity for new patients or participants?
  • Details regarding how the service line, program, initiative or event can be accessed (ex. self-referral, physician referral, etc.)

Because Marketing is always working on multiple projects, please be aware of the following Lead Time Requirements

  • New service line, program, initiative or event – 2 months prior
  • Promote an existing service, program or event – 1 month
  • Create new materials – 1 month
  • Print existing materials – 2 weeks
  • Order business cards, letterhead, etc. – 1 month

Logo

The following logo is approved for use. Below is a small, downloadable file for limited use. If you need a hi-res logo or large image, please contact Marketing. Right click to save the file to your computer.

Email Signature

We are changing the way we do email signatures to accomplish a few things:

  • To make the signatures clearer and easier to read
  • To ensure that the signatures show up in copied/pasted emails and plain text forwards.
  • To give people more control over editing their signatures.
